The Problem
Scheduling ran on messages. Every booking took several exchanges to confirm, reschedules rippled into more messages, and reminders depended on someone remembering to send them. The admin load grew with every new client, and the mistakes it produced (double bookings, no-shows, forgotten changes) cost more than the admin time itself.
What I Built
An end-to-end scheduling automation: availability is the source of truth, clients book or reschedule themselves, confirmations and reminders fire automatically, and cancellations release the slot and notify the right people instantly. The whole flow is wired together in n8n and Make.com on top of the tools the business already ran, so nothing had to be migrated and nobody had to learn a new platform.
The Result
Booking admin dropped to effectively zero, reschedules resolve without a single message from the team, and reminders go out on every appointment rather than the ones someone caught. The hours that used to disappear into coordination went back into delivery.
